Job Description
Chettinad Sarvalokaa School, Kelambakkam seeking a highly organized Young, Energetic and detail-oriented Admin Executive (Male) to support the smooth functioning of administrative tasks at our school. The ideal candidate will be responsible for handling day-to-day operations, maintaining records, assisting staff, students, and parents, and ensuring that all school administrative processes run efficiently.
Key Responsibilities:
- General Administration:
- Provide administrative support to the school’s leadership team, including the principal and department heads.
- Maintain and update school records, including student data, attendance, and staff records.
- Prepare and manage internal memos, documents, reports, and correspondence as needed.
- Handle scheduling, including meetings, appointments, and school events.
- Communication:
- Act as a liaison between the school, parents, and external organizations.
- Respond to inquiries from students, staff, parents, and visitors, providing relevant information and assistance.
- Coordinate communication between different departments and ensure smooth dissemination of information.
- Student and Staff Management:
- Assist in the preparation of student admission forms, reports, and related documentation.
- Maintain attendance records for both students and staff.
- Assist with the preparation and distribution of school timetables, exam schedules, and other academic-related information.
- Facilities and Inventory Management:
- Monitor school supplies and ensure that necessary resources are stocked and available.
- Assist with the coordination of school events, meetings, and workshops.
- Oversee the upkeep of office equipment and ensure that all administrative systems are running effectively.
- Data Entry and Record Keeping:
- Maintain accurate and up-to-date electronic and physical records, ensuring compliance with school policies.
- Perform regular data entry tasks, ensuring accuracy and confidentiality of information.
- Other Duties:
- Support the school’s efforts to implement and maintain administrative systems, policies, and procedures.
- Handle basic HR-related tasks such as leave management, employee record keeping, and payroll assistance.
- Assist with other administrative projects and tasks as required by the management.
Requirements:
- Qualifications:
- Bachelor’s degree in Business Administration, Education, or a related field (preferred).
- Relevant experience in school administration or a similar role is a plus.
- Skills and Competencies:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion and integrity.
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiarity with school management software is an advantage.
- Basic knowledge of HR, finance, and procurement processes is beneficial.
