Job Description

Chettinad Sarvalokaa School, Kelambakkam seeking a highly organized Young, Energetic  and detail-oriented Admin Executive (Male) to support the smooth functioning of administrative tasks at our school. The ideal candidate will be responsible for handling day-to-day operations, maintaining records, assisting staff, students, and parents, and ensuring that all school administrative processes run efficiently.

 

Key Responsibilities:

  • General Administration:
    • Provide administrative support to the school’s leadership team, including the principal and department heads.
    • Maintain and update school records, including student data, attendance, and staff records.
    • Prepare and manage internal memos, documents, reports, and correspondence as needed.
    • Handle scheduling, including meetings, appointments, and school events.

 

  • Communication:
    • Act as a liaison between the school, parents, and external organizations.
    • Respond to inquiries from students, staff, parents, and visitors, providing relevant information and assistance.
    • Coordinate communication between different departments and ensure smooth dissemination of information.

 

  • Student and Staff Management:
    • Assist in the preparation of student admission forms, reports, and related documentation.
    • Maintain attendance records for both students and staff.
    • Assist with the preparation and distribution of school timetables, exam schedules, and other academic-related information.

 

  • Facilities and Inventory Management:
    • Monitor school supplies and ensure that necessary resources are stocked and available.
    • Assist with the coordination of school events, meetings, and workshops.
    • Oversee the upkeep of office equipment and ensure that all administrative systems are running effectively.

 

  • Data Entry and Record Keeping:
    • Maintain accurate and up-to-date electronic and physical records, ensuring compliance with school policies.
    • Perform regular data entry tasks, ensuring accuracy and confidentiality of information.

 

  • Other Duties:
    • Support the school’s efforts to implement and maintain administrative systems, policies, and procedures.
    • Handle basic HR-related tasks such as leave management, employee record keeping, and payroll assistance.
    • Assist with other administrative projects and tasks as required by the management.

 

Requirements:

  • Qualifications:
    • Bachelor’s degree in Business Administration, Education, or a related field (preferred).
    • Relevant experience in school administration or a similar role is a plus.

 

  • Skills and Competencies:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Ability to handle confidential information with discretion and integrity.
    • Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiarity with school management software is an advantage.
    • Basic knowledge of HR, finance, and procurement processes is beneficial.
