Job Description

We are seeking a versatile and organized Administrative Officers to oversee and coordinate a variety of administrative tasks, including front desk operations, general administration, and library management. This role requires a proactive individual with excellent multitasking abilities and strong communication skills.

Key Responsibilities

  1. Front Desk Management
    • Serve as the first point of contact for visitors and staff, providing a welcoming and professional environment.
    • Handle incoming calls, emails, and inquiries, directing them to the appropriate departments or individuals.
    • Maintain the reception area’s cleanliness and organization.
  2. Administrative Support
    • Manage office supplies, equipment, and inventory to ensure smooth operations.
    • Assist in scheduling meetings, preparing reports, and maintaining accurate records.
    • Coordinate with other departments to ensure efficient workflow and address administrative needs.
    • Monitor and enforce compliance with company policies and procedures.
  3. Library Management
    • Oversee the organization, cataloging, and maintenance of library materials and resources.
    • Assist staff and visitors in locating and borrowing materials.
    • Maintain accurate records of borrowed and returned items, ensuring the library operates effectively.
    • Plan and implement systems for the efficient use of library resources.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience in administrative roles, preferably with exposure to front desk and/or library operations.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and general office equipment.
