Job Description
We are seeking a versatile and organized Administrative Officers to oversee and coordinate a variety of administrative tasks, including front desk operations, general administration, and library management. This role requires a proactive individual with excellent multitasking abilities and strong communication skills.
Key Responsibilities
- Front Desk Management
- Serve as the first point of contact for visitors and staff, providing a welcoming and professional environment.
- Handle incoming calls, emails, and inquiries, directing them to the appropriate departments or individuals.
- Maintain the reception area’s cleanliness and organization.
- Administrative Support
- Manage office supplies, equipment, and inventory to ensure smooth operations.
- Assist in scheduling meetings, preparing reports, and maintaining accurate records.
- Coordinate with other departments to ensure efficient workflow and address administrative needs.
- Monitor and enforce compliance with company policies and procedures.
- Library Management
- Oversee the organization, cataloging, and maintenance of library materials and resources.
- Assist staff and visitors in locating and borrowing materials.
- Maintain accurate records of borrowed and returned items, ensuring the library operates effectively.
- Plan and implement systems for the efficient use of library resources.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience in administrative roles, preferably with exposure to front desk and/or library operations.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite and general office equipment.
