Job Description

BASIC FUNCTION (JOB SUMMARY)

We are seeking a highly organized and detail-oriented Preschool Administrative Executive to
ensure the smooth day-to-day operations of our preschool including Toddlers to Grade 2. The ideal
candidate will act as a bridge between the HO administrative team, teaching staff, parents, and other
stakeholders, ensuring that all processes run efficiently and align with the school’s mission to
provide a nurturing and stimulating environment for young learners.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administrative Oversight:
    o Manage the preschool’s daily administrative operations, including maintaining
    records, schedules, and files.
    o Oversee enrolment processes, admissions, and student attendance tracking.
    o Ensure compliance with all policies, regulations, and licensing requirements.
    o Ensure a safe environment for students and staff in the school at all times.
  • Staff Coordination:
    o Assist in the coordination of staff schedules, meetings, and training sessions.
    o Serve as the primary point of contact for staff inquiries related to administrative
    matters.
  • Parent Communication:
    o Act as a liaison between the preschool and parents, addressing inquiries and concerns
    in a professional and timely manner.
    o Distribute important updates, newsletters, and announcements.
  • Financial Management:
    o Assist with fee collection, invoicing, and maintaining financial records.
    o Monitor and procure office, classrooms, labs, transport and kitchen supplies as
    needed, adhering to the school’s budget.
  • Event and Program Coordination:
    o Help plan and organize school events, workshops, and activities indoor and outdoor.
  • Operational Support:
    o Handle front office responsibilities, such as welcoming visitors and answering phone
    calls.
    o Address immediate needs or concerns that arise during school hours.
    Requirements / Qualifications :
    · Bachelor’s degree in business administration, education, or a related field.
    · Proven experience in an administrative or coordination role, preferably in an educational
    setting.
    · Strong organizational, time-management, and multitasking skills.
    · Excellent communication and interpersonal abilities.
    · Proficiency in office software (e.g., MS Office, Google Workspace) and familiarity with
    school management systems.
    · Knowledge of early childhood education principles is a plus.
